Most everyone has heard an AMS implementation horror story or lived through one. Implementing a new association management software (AMS) means change, and change is scary, especially for staff who wear multiple hats.

Set Your Association Up for AMS Implementation Success

We understand the importance and gravity of this project and how critical it is to get off to a strong start. Here’s what you can do in the first 30 days after signing your contract to set your team up for success.

Identify your AMS project team

Start assembling your implementation team: 

  • Project manager: the main point of contact who wrangles the troops on your end 
  • Key decision makers: people who can make business decisions (membership director, meeting planner, finance lead, etc.) 
  • Power users: staff who will use the AMS in depth daily 
  • Technical administrators: people who understand your current database 

These roles might overlap in smaller organizations. “But don’t have one person making all the decisions about implementation. Engage the appropriate stakeholders.”

Think about your implementation timeline

Account for major events, renewals, fiscal year-end, and staff availability when planning your timeline.

Identify project risks and concerns

Get any fears and concerns out into the open early. What might delay your progress or throw a wrench in the works?We’re not afraid to talk about what keeps you up at night. In fact, we welcome it. The sooner your concerns are identified, the sooner they can be addressed.”

Define AMS success criteria

What does a successful implementation look like for your association? Is it increasing revenue? Reducing manual processes? Be specific about your goals. The more you think about these things early on, the more you can share with us, the smoother it’s going to be.” 

Bonus preparation: start thinking about data export

While not required, researching data extraction options and checking your AMS vendor contract for export clauses saves time later. 

“You don’t have to figure this out on your own before kickoff, but it could save time and headaches later. Don’t worry, we’ll give you guidance and walk you through it.” 

Have Critical Internal Conversations Before Project Kickoff

Before your team meets with re:Members for kickoff, discuss these issues with your team. 

Align on the big picture. Is everyone on the same page regarding the project scope, timeline, and success criteria? If departments have different expectations, now’s the time to hash them out. 

Make decisions about existing processes. Decide which processes to keep and which to adapt to the new system. The National Association of the Remodeling Industry recently went live with re:Members, so their Web Services & AMS Manager Carol Desmond’s memories are fresh. She says,

Prioritize the must-haves. Define what you need for go-live versus what can wait until later. Kristina says, “Maybe basic end-of-month reporting is critical for go-live, but annual membership reporting you’ve never done before isn’t.” 

Make structural decisions in advance. Have internal debates and make decisions about revamping your membership model or overhauling the event registration process before kickoff.
